How to follow up on a job application without repeated messages
A follow-up is a request for information, not a way to guarantee a reply or interview. Use the original application details so the recipient can find your submission.
Use the employer’s timeline first
Read the confirmation email and posting. Some employers publish a response window, provide a portal status or ask applicants not to contact recruiters. Respect those instructions. If the stated window has not passed, keep the confirmation and check the portal instead.
There is no universal number of days that guarantees the right time. If no timeline is provided, choose a reasonable interval that accounts for closing dates and working days. One considered enquiry is more useful than sending daily reminders.
Use a verified contact and identify the application
Reply to an appropriate application thread or use the contact supplied for enquiries. A no-reply mailbox is not a recruiter contact. Avoid guessing personal addresses or messaging many employees about the same submission.
Include the role, reference and submission date. Keep the tone neutral and ask one clear question. Do not attach a different resume unless requested or unless you are clearly explaining a correction.
Adapt this follow-up email
This template is for an application already submitted. It is not an interview thank-you note. Replace the placeholders and check that the employer permits enquiries.
Subject: Follow-up on [role] application — [job reference] Hello [contact name or Hiring Team], I submitted my application for [role, reference] on [date]. I remain interested in the position and wanted to ask whether there is an update on the hiring timeline. Please let me know if any additional information would be helpful. Thank you for your time and consideration. Kind regards, [Your name]
Record the response and keep applying thoughtfully
Save the message date and any response with your application record. If the employer provides a new timeline, use it for your next check. An unanswered enquiry does not establish whether the role is filled or whether your resume caused the delay.
Keep the exact resume you submitted so you can prepare if an interview follows. Waywright can store resume versions and application notes; it does not contact employers or determine your hiring status automatically.
Frequently asked questions
What if the employer says not to contact them?
Respect that instruction. Keep your confirmation, use any provided application-status portal and continue other applications rather than looking for alternative contacts to bypass the request.
Should I attach my resume again in a follow-up?
Follow the recipient’s instructions. If you do attach it, use the submitted version unless you are explicitly supplying a correction. Clearly identify any change so there are not two unexplained versions.
Does no reply mean my application was rejected?
No. Silence alone does not tell you the outcome or its cause. Check an available portal status and any stated hiring timeline while continuing your other applications.
Put the checklist into practice
